soapsQ:  How can I become a vendor at the Delafield Farmers’   Market?

A: Thank you for your interest in the Market. We are pleased that you are considering becoming part of our community weekly event. Vendors can apply for and then reserve a spot at the Market at a seasonal rate or can apply for specific weeks at a daily rate which is based upon availability.

All farmers, growers, producers, artisans, and on-site food vendors wishing to sell at the Delafield Farmers’ Market must submit a Vendor Application packet to the market manager that is inclusive of permits and licensure where applicable.

Please first review the Market Rules and Regulations below and then if you would like to be considered for a vendor booth, contact the market manager to request the Vendor Application packet. Please note that submitting an application does not guarantee you space in the market.All vendor applications are reviewed and carefully considered based on the uniqueness and need for your product.  Also note, even if your application is approved, you may be put on a waiting list for available space.

2012 Rules, Regulations, and Responsibilities

Section I: Produce and Products

Delafield Farmers' Market is a producer-only market. Our goal is to provide quality, locally grown and produced products to our community. All items must be grown, produced, or handcrafted by the applying vendor. Vendors must produce all goods sold, with any exception approved by the Market Manager. Goods that have been traded, bartered, or purchased at wholesale by the vendor may not be resold at the Market.

The Market manager and Board reserve the right limit the number of same type vendors and to restrict items for sale that are deemed inappropriate or not in keeping with the Market image. Applying vendors will be invited to participate based upon the need for their product. The Market manager and Board reserve the right to make vendor inspections at the location where produce and products are grown, produced, or crafted. The manager and Board monitor freshness and quality of all market items. The management jury team will screen all applying vendors. The management team's decisions are final.

 Items that may be sold include the following:

  • Locally-grown vegetables, fruits, flowers, and plants
  • Locally-produced eggs, honey, maple syrup, and fruit juices
  • Handmade crafted items
  • Processed food items
  • Meat, poultry, or fish
  • Cooked and other processed food or sandwiches for immediate consumption

Items that cannot be sold include the following:

  • Live animals
  • Used clothing or other rummage items

Section II: Licenses and Permits

All vendors must obtain and comply with all applicable federal, state, and local regulations. It is the responsibility of the applying vendor to attain all applicable licenses and permits. Vendors are required to provide the market manager copies of all applicable product licenses and permits when submitting the Application Form. Further, vendors must complete Part C, page 1, of the provided Form S-240, Wisconsin Temporary Event Operator and Seller Information form, which will be submitted to the Wisconsin Department of Revenue by the Delafield Farmers' Market and in accordance with state laws.

Section III: Insurance

Vendors are responsible for and are strongly encouraged to purchase their own personal and product liability insurance.

Section IV: Vendor Spaces and Cost

Stalls are assigned by the Market manager prior to the start of the season. We do our very best to address each vendors needs while keeping in mind the overall flow inside the market and our goal of providing the very best experience to our customers. Whole season vendors are expected to attend the Market every Saturday. Daily rates will be offered only when space permits; consideration will be given to a vendor with a seasonal specific or limited product. A single vendor stall is approximately 9'6" to 10' in width. If you have specific needs, please indicate this on the Application Form.

Whole Season Rate:       $100 per stall (maximum of three stalls can be requested)
Daily Rate (if available):   $15.00 per Market

Section V: Missed Market Days

Vendors must notify the Market Manager no later than 48 hours in advance if they intend to skip or miss a Market day due to weather conditions or other factors. This policy will be strictly enforced.

  • Vendors registered for every Market Saturday: Vendors who skip or miss two (2) Market Saturdays in sequential order –without notifying the manager - forfeit their stall and vendor status for the remainder of the 2012 season; the Market manager has the right to re-assign the space, rent the space to a daily-rate vendor, and/or re-assign you to an alternate space for the remainder of the season.
  • Vendors registered for specific Market Saturdays: Vendors who skip or miss two (2) scheduled Market days—without notifying the manager— forfeit their space and vendor status for the remainder of the 2012 season; the Market manager has the right to re-assign the space, rent the space to a daily-rate vendor, and/or re-assign you to an alternate space for the remainder of the season.

Section VI: Miscellaneous Vendor Responsibilities and Information

  • Vendors must obtain and use tent anchors (minimum 24 pounds each) if a tent is being used. The market location is windy, and tents are susceptible to being blown over.
  • Vendors may not bring their pets to the market.
  • Vendors must refrain from smoking in their booth and around customers.
  • Vendors may not set up before 7:00 a.m. or leave before 1:00 p.m.
  • No vehicle activity may take place inside the Market after 8:00 a.m. or before 1:00 p.m. Vendors may not arrive late or leave early; this disrupts the market and endangers the safety of pedestrians. If you arrive after the Market opens at 8:00 a.m., notify the Market manager to be re-assigned to an alternate space for that day. To ensure the safety of our customers, if you anticipate needing to leave early, you must notify the Market manager in advance who may re-assign you an alternate space for that day.
  • Vendors must clean up their assigned stall after each market day. This includes removal of all trash and unsold produce.
  • Vendors who violate any of the rules, responsibilities, or regulations may result in that vendor being barred from further participation in the market. All violations of the market rules and all grievances relating to the Market are resolved by the Manager and Board.

Section VII: Vendor Application Process

To become a vendor and a member of the Delafield Farmers’ Market, producers need to do the following:

  1. Fully complete and sign a 2012 Vendor Application Form and provide copies of current and applicable licenses, permits, and insurance. The Vendor Application Form is downloadable in PDF format by clicking on this link.

  2. Submit all of the above to: Delafield Farmers' Market, c/o Lisa Thorstenson,
    P.O. Box 180232, Delafield, WI, 53018.

  3. You will be contacted by the Market Manager with an invitation to join the Market if your application is approved. At that time you will be asked to write a check made payable to: Delafield Farmers' Market. That check must be received within five business days of approval or this spot may no longer be available to you.

Q: What kind of licensure or permits do I need to sell my products at the DFM?

A: Depending upon what product you intend to sell, you will be required to provide all or some of the following:

  • WI Form S-240, Part C (required by ALL vendors). Click here to download.
  • Wisconsin Sales Permit
  • Food Processor (Retail) License for baked, canned, or prepared food and for eggs.
  • Nursery Grower License for perennial plants, trees, and shrubs.
  • Mobile or Temporary Food Establishment License for operators selling on-site food
  • Certificate of Insurance

Q: How many vendors come to the market?
A: Depending on what's in season, the number changes from week to week, but over 40 vendors have signed on to participate during the 2012 season.
